How to use the EndNote reference management software

Add author-date citations

Before inserting citations, ensure that the output referencing style in Word matches your style in EndNote:

There are three different ways to insert a citation in author-date format:

Option 1 - pre-select reference in EndNote

  1. In EndNote, click to highlight the reference to be inserted
  2. In your Word document, position the cursor where the in-text citation is to be added in the paper
  3. Click on the drop-down arrow next to Insert Citation
  4. Select "Insert Selected Citation(s)".

Option 2 - search for reference in Word

  1. In Word, click on the drop-down arrow next to "Insert Citation"
  2. Select "Insert Citation". This should bring up the "EndNote 21 Find & Insert My References" pop-up window
  3. Enter a search term in the "Find My References in EndNote" search box
  4. Select "Find"
  5. Click on a reference to highlight
  6. Select "Insert".

Option 3 - export reference from EndNote

  1. In Word, position the cursor where the in-text citation is to be added in the paper
  2. In EndNote, click to highlight the reference to be inserted
  3. From EndNote's "Summary" pane, select the "Insert" button.

Once a citation has been added, a full reference will also be added to the bibliography or reference list in alphabetical order at the end of your document.

Add footnote citations

To create a footnote citation in Word:

  1. Place the cursor where the superscript number is to be inserted
  2. Select the "References" tab from the Word top menu
  3. Under the "Footnotes" menu in the ribbon, select "Insert Footnote"
    • A superscript number will be placed in your text where the cursor was
    • Your cursor will jump down to the bottom of the page, ready to insert the citation
  4. Select the "EndNote" tab in the Word top menu
  5. Click on the drop-down arrow next to "Insert Citation"
  6. Select "Insert Citation". This should bring up the "EndNote 21 Find & Insert My References" pop-up window
  7. Enter a search term in the "Find My References in EndNote" search box
  8. Select "Find"
  9. Click on a reference to highlight
  10. Select "Insert".

Add page numbers to citations

To add a page number to your in-text or footnote citation:

  1. In Word, select "Edit & Manage Citations" from the EndNote tab. This should open the "EndNote 21 Edit & Manage Citations" pop-up window
  2. Type the page number/s in the Pages box, eg. 22 (or 22-25). You do not need to type "p" or "pp"
  3. Select "OK".

Add a citation to an existing citation

When you're reviewing your work, you might find that you need to add more citations to an existing one, because you have discovered another source for that idea.

To edit the citation to add another citation:

  1. In Word, click on the citation that is already in your document
  2. From the EndNote tab in the ribbon, select "Edit & Manage Citation(s)"
  3. Open the "Edit Reference" menu for the existing citation
  4. In EndNote search for and select the citation you wish to add
  5. Select "Insert Citation"
  6. Select "Insert"
  7. Select "OK".

You will see both citations grouped together in the same set of brackets. The extra reference will be added to the reference list.
